How to create an invoice
Making an invoice does not need to be complicated. A good invoice answers three questions for your client: what was the work, how much is owed, and how do they pay. Here is how to create one with the free generator above.
Add your business and client details
Enter who you are and who you are billing. Add your logo if you want it on the PDF. It stays in your browser and is never uploaded on the free tool.
Add your line items
List each service or product with a description, quantity, and rate. The subtotal, tax, discount, deposit, and balance due update live as you type.
Download your PDF
Download a clean, professional PDF with no watermark. Send it to your client by email, and create a free account later if you want to save clients and track payments.
Understanding invoice payment terms
Payment terms tell your client when payment is due. The most common terms are "due on receipt" (pay immediately), net 15, and net 30, meaning the balance is due 15 or 30 days after the invoice date. Net 30 is standard for business clients, while many freelancers and small service businesses prefer net 14 or due on receipt to get paid faster. For larger jobs, it is common to invoice a deposit (often 25-50%) before starting work and bill the remaining balance at completion. You can set any of these up in the generator above using the deposit and amount-paid fields.
Invoice generator FAQs
How do I create an invoice for free?
Fill in your business and client details, add your line items with quantities and rates, then download the PDF. There is no signup, no watermark, and no limit on how many invoices you can create.
What is the best format for an invoice?
A professional invoice is a clean PDF that clearly shows your business details, the client's details, a unique invoice number, the date and due date, itemized line items, the total due, and payment instructions. This generator produces that format automatically.
How do I number my invoices?
Use a simple sequential system such as 0001, 0002, 0003, or include the year (2026-001). The key is that each invoice number is unique and never reused, which keeps your records and your client's accounting clean.
Can I add tax and a deposit to my invoice?
Yes. The generator supports tax, discounts, deposits, and amount paid, and it calculates the remaining balance due for you. Leave any field at zero if it does not apply to your invoice.
